Policies

The following are the policies of School of Rock Fairfax District. Please refer to this page regularly as policies may change. If policies are changed, all current School of Rock families will be notified in writing via email. PAYMENT

Payment is due on the 1st of the month and it will be automatically deducted from your card on file. Please keep us up-to-date on any changes such as expired/canceled cards, etc. If you need to pay by check, we need it by the first of the month made out to School of Rock Fairfax District (there will be a $25 charge for all returned checks) There will be a $25 late fee for any payment paid after the 5th of the month.

MEMBERSHIP CHANGES

If you need to change your membership in any way, please speak with our General Manager or a Studio Coordinator AND send an email to fairfax@schoolofrock.com.

If you are canceling your membership, we require a 30 day notice and you must submit the notice in writing to fairfax@schoolofrock.com. Your child will then be paid up until the end of the cancellation period and is more than welcome to come in and take all scheduled lessons and rehearsals up until the end of the cancellation period.


COMMUNICATIONS

Emails

Emails are sent from fairfax@schoolofrock.com using an email program called HUBSPOT. We send emails containing important information about upcoming season show sign-ups, new programs, camps, rehearsals, school closures, and shows. Please make sure we have accurate email addresses for everyone in your family who needs to stay informed. Please check your emails regularly - we rarely send superfluous marketing emails, so please stay on top of all communications that come from the School.

Pike13 and Scheduling

All lessons and rehearsals are scheduled through Pike13. When your child signs up for lessons, we’ll send you a “Welcome Email” and it’s important you Claim Your Account. With Pike13, you can log in to see your account details, update credit card information, sign our electronic waiver, and manage how you want to be notified about appointments, classes, courses, and events.

Your child's instructors will also use Pike 13 to send you a note every week following your child’s lesson regarding what happened in the lesson that day and what your child needs to practice for the upcoming week. Show directors for the Performance Program and Rock 101 will use it to send out show notes each week. We also send all notices about changes in scheduling via Pike13.

Additionally, you will need your Pike13 login to access the Method App.


LESSONS

Lesson Canceling/Rescheduling

If your child is not going to be at their regularly scheduled lesson, please call or email and let us know 24 hours in advance. If we are notified 24 hours in advance, the lesson is eligible for a make-up lesson or rescheduling. If you call the same day to cancel the lesson, after we have closed for the day, or if your child does not show up, no makeup lesson will be given.

Our instructors' time is valuable and very tightly scheduled. Please do us the courtesy of always calling if your student will miss their lesson. Lesson cancellation/rescheduling is handled by the front desk staff only as instructors cannot make changes to the master schedule.

Make-up Lessons

Lessons cancelled 24 hours or more in advance of the scheduled lesson time are eligible for a make-up lesson. A make-up lesson pass will be automatically issued to your account immediately upon cancellation, please schedule this make up through your Pike 13 dashboard at your own convenience. Reminder, make-up lesson passes expire 3 months after the date of cancellation. In the event you cancel more than 30 days in advance please contact the school directly.

If you wish to cancel through us, we prefer that you email us at fairfax@schoolofrock.com. This email address forwards to our admin team so that whoever is in the office that day can handle your schedule request efficiently.

You may also call our school at 323-999-1919 during operating hours to cancel your lesson.

Make-up lessons cannot be used in lieu of a monthly payment. All make-ups must be scheduled while your child is currently enrolled. Several of our teachers don’t have regular openings in their schedules so it may not be possible to get a makeup lesson with your regular instructor. In that case, we’ll suggest an alternate instructor or substitute. Your child can also have their make-up lessons on a different instrument!

Substitutes

All of our instructors are working musicians who tour, record, gig and occasionally get sick. This means that your child may have a substitute once in awhile for their lessons. All substitutes are employees of School of Rock and have been background checked, completed our mandatory safety training and are highly qualified to teach the instrument for which they are substituting. We also often use instructors who teach lessons on other days as substitutes. If the instructor knows far enough in advance that they will be gone for a student’s lesson, they will inform their students. We occasionally need to arrange a substitute at the last minute. In that case, we’ll let your child know when they come in for their lesson that they have a substitute that day.

Holiday Policies

School of Rock Fairfax District LA does not offer makeup lessons for the major holidays. These are New Year’s Day, Memorial Day, July 4th, Labor Day, Halloween, Thanksgiving (Thursday & Friday) and the week between Christmas Eve and New Year’s Day. To offset these holiday closures, we do not charge more for the months in which you get more than four lessons/rehearsals.

PERFORMANCE PROGRAM, ROCK 101 & ROOKIES

Rock 101

In Rock 101 your child will have the opportunity to not only focus on their primary instrument, but they can try other instruments as well. Each week the group rehearsal will focus on learning more about music, while also learning a few songs they will have the opportunity to perform.

Please make sure you check your messages regularly as we’ll inform you about important show information, casting updates and answer questions from other parents that may pertain to you as well.

To graduate from Rock 101 into our Performance program, your child’s Rock 101 Director will determine when the student’s ready and discuss it with our Music Director and their private instructor. To graduate, students must be showing some proficiency on their instrument and an ability to focus in class.

Performance Program and Casting

Upon entering our Performance Program, your child will be cast on a show and start attending weekly rehearsals. We send weekly rehearsal notes through Pike 13. Please make sure you check your messages regularly as we’ll inform you about important show information, casting updates and answer questions from other parents that may pertain to you as well.

Students are expected to show up to their rehearsals prepared and showing progress. Students should be working on their songs at home and with their instructors. Show Directors will cast a student on additional songs only when they have their initial songs down. If a student is continually unprepared on a certain song and the Show Director has talked to the student and the student’s instructor about making sure it is in his/her ability to play the song, the Show Director reserves the right to cast another student on the song.

Rehearsal Absences (missed, late arrival, early departure)

If your child will be arriving late, leaving early, or missing a rehearsal, please let us know at 323-999-1919 or fairfax@schoolofrock.com. This helps us run rehearsals efficiently. Excessive missed rehearsals will result in fewer songs overall. Remember, for every song your child is cast on, there are several more kids on the same song. It’s not fair to the other kids to continually have to postpone running that song.

Down Time Must Be Used Wisely

Hang time is important and the kids need to have fun getting to know one another. When students aren’t rehearsing, they should use the time to work on homework or work on their parts with other bandmates. Horseplay, play-fighting and disruptiveness won’t be tolerated. Repeated horseplay and disruptive behavior will result in being asked to leave rehearsal.

Being Prepared

You are expected to bring everything you'll need for a rehearsal including, but not limited to, your instruments, picks, straps, sticks, homework, food, water bottle, etc. Leaving during rehearsal is not something you'll need to do when you show up prepared for the rehearsal. There will be no exceptions to this policy. If there's something that you need for rehearsal that you didn't bring with you you'll need to contact your parent or guardian to bring it to the school for you.

Rookies and Little Wing

If you can’t make your weekly class, please let us know via phone/email. We can’t guarantee that we can accommodate rescheduling a class as the other weekly classes are sometimes full, but you’re welcome to call ahead and ask if another class that week has an opening.

SAFETY & SECURITY

To ensure the safety of our students, only students under the age of 18 and background checked staff will be allowed past the lobby of the school. Students under the age of 18 are welcome to hang out in the student lounge area.

Additionally, no student will be allowed to leave the school for any reason unless we have an Off Premise waiver signed by the parent on file. The waiver can be emailed to you by request prior to the start of the new show season.

Finally, we are following all local and state guidelines for COVID safety. Our school is sanitized each day before classes begin, and at the end of each day. Instructors also sanitize areas in their room in between lessons. We also have communication protocols in place in case of any potential school exposures.
